FSS Data Entry Program Instructions FY 1995

Checklist for Steps to be Completed


The following list of steps should be followed in the order presented. Check boxes have been provided for you to indicate when the step has been completed.

NOTE: If you are running Windows, you must exit before you begin working with FSS!

  1. Install program on hard drive.

  2. Enter respondent information.

  3. Enter data by one of the following methods:

    1. Manually
      OR
    2. Import data

      1. Sort input - from DOS, type "sortdata filename" where filename is the name of the file which contains data in the Instructions and Specifications format.
      2. Start the FSSIO import/export program.
      3. Select Import option from the main menu.
      4. Enter filename as specified in step (1) above.
      5. When the import is finished, print out the import errors and skipped records, if any:

        1. Exit the FSSIO import/export program and return to DOS
        2. Print the error file by typing "COPY filename.err LPT1" (this can be in either uppoer or lower case letters)
        3. Print the skipped records file by typing "COPY filename.skp LPT1" (this can be in either upper or lower case letters)

          where filename is the same name you provided in step (1) above and LPT1 is the printer port most normally available.

      6. Review the errors and skipped records!
      7. Corrections can be made or skipped institutions can be entered manually within the FSS PC survey disk

  4. If you are providing data for only a part of your agency's submission, follow these steps; otherwise go to step 6:

    1. Export data which was entered under step 3 above:

      1. Start the FSSIO import/export program, and select Export option from the main menu.
      2. Enter a file name for the exported data (this can be any name you want, but we suggest using the following: export.txt).
      3. When the export is finished, exit the FSSIO import/export program and return to DOS.

    2. Copy exported data to a floppy disk: from DOS, type "EXPCOPY filename" where filename is the name you provided in step (2) above. EXPCOPY is a program which will copy all necessary files you created when you entered your data.

    3. Forward floppy with exported data to your agency coordinator.

  5. If you are combining data from other units within your agency, import data from each floppy created in step 4. above by the other reporting units.

    BE CAREFUL: Do not import data from the same floppy more than once; this will result in double-counting.

  6. If you have entered or combined all data for your agency:

    1. Produce a Trend Report by selecting the Reports option then selecting Trend.

    2. Review the trend report and either correct the data
      or
      verify data by entering reasons for increase/decrease within the Comments option.

  7. Complete response burden information.

  8. Run "Finished" program twice:

    1. To complete the original disk to be returned to QRC (the original disk is the disk you used when you installed the FSS program and should be in your a: or b: disk drive).
    2. To create a backup for your use (put a new/blank disk in the a: or b: disk drive).

  9. Return the original disk to QRC in disk mailer provided in mailout packet.
